The business mailroom is a central location for receiving important statements needed for closing books and any other miscellaneous documents necessary for bookkeeping by Docyt's Account Managers.
We suggest using the mobile app to scan and upload documents directly to the Business Mailroom to make sure it's a smooth and hassle-free process for you. Here's a step-by-step guide on how to do it:
1. Download the 'Docyt Mobile App' if it still needs to be done.
2. Open the 'Docyt Mobile App' on your mobile device and log in.
3. Press the "+" icon at your bottom to access the Mailroom option.
4. Choose the 'Mailroom' tab from the displayed list to send the document to the Mailroom module of Docyt.
5. Position the document within the camera frame to ensure it is clear and readable, then capture the image by tapping the white “Circle” icon at the bottom of the screen.
6. Once you have taken the photo, you can easily adjust the image by dragging the dots on each square corner to resize and position it over the desired area. Once you have adjusted the image, tap "Accept Scan" to continue.
7. If you have more documents to scan, repeat steps 5 and 6. Otherwise, click "DONE" after scanning all required documents.
8. If you have multiple businesses listed in Docyt, select the specific business for which you uploaded the document by tapping its name.
9. The "Document is being uploaded” progress bar will be displayed. Wait until the progress bar completely turns blue. Don't close the app while the upload is in progress.
10. To view the documents you uploaded in the Mailroom, tap on the three-line icon (the Hamburger icon) at the screen's top left corner (as shown in step 3). Then, you can navigate to the 'Mailroom' section within your Business to access and manage your uploaded documents.
11. Choose the business where you uploaded the document in the Business Mailroom.
12. You can easily view the document you uploaded at the top of the Mailroom module. A blue dot will indicate that the document has yet to be viewed, making it easy to track which documents still need attention.
Note: While uploading a document in iOS, users with "None" permission for a specific business should not be able to view that business.
Permission: None for Business Mailroom. For this visit Business Settings → Business Employees.
Search the user and select the Business Mailroom user permission as "None".
Once the role is set to "None," users will no longer have access to view the Business Mailroom, functionalities. Please refer to the accompanying screenshots for clarification.
User won't be able to view the specific business to upload the document in the Business mailroom.
