Users often find it challenging to include sufficient context in their journal entries, making it difficult to recall key details or link necessary reference documents later.

    With the ability to attach relevant documents and files directly to journal entries, users can transform each entry into a complete and self-contained record. This simplifies understanding, enhances collaboration, and ensures critical details are readily available when needed.

Challenge 2: Inefficient Workflows Due to Third-Party Dependencies

Relying on external software to attach or manage documents for journal entries is time-consuming and inefficient, often leading to disjointed workflows and extra manual effort.

    Docyt’s attachment feature allows users to link documents directly within journal entries and automatically syncs them with the ledger. This eliminates the need to reference external tools, saving time and streamlining workflows for a smoother, more efficient experience.

How the Feature Functions:

1. Users can add attachments both when creating a new journal entry and while editing an existing entry.

2. Click on the 'Add' icon to attach a document while creating or editing your journal entry.

 

3.Choose a file to attach as a document to the corresponding Journal Entry.

 

 

4. Once the attachments are added, users have the option to download, edit, rename, or delete them as needed.

5. Once the attachments and journal entry are saved, or if an automatic journal entry is generated with a document, users will have the option to view the receipt.

 

2. Copy Journal Entry

The "Copy Journal Entry" feature in Docyt provides a quick way to duplicate existing journal entries, saving time and minimizing manual effort for recurring or similar entries

The benefits of the "Copy Journal Entry" feature in Docyt include:

  1. Time-Saving: Quickly replicate an existing journal entry, eliminating the need to manually input repetitive data.

  2. Consistency: Maintain uniform formatting and accurate details across similar entries, reducing discrepancies.

  3. Error Reduction: Minimize mistakes by reusing a verified journal entry as a template.

  4. Efficiency in Recurring Entries: Streamline the process for handling periodic transactions or entries that require similar data.

Steps to copy Journal Entry :

1. Go to Reconciliation Center>Journal Entries

User can copy the entire journal entry from   'Copy Journal Entry'  icon

Journal Entry Before Copying Journal Entry After Copying 

 

2. Click on the '   Copy Journal Entry' icon to copy duplicate row of the existing entry. Please note that the credit and debit fields will need to be filled in each time you create a copy of the entry

 

3. If a user attempts to delete an entry, a confirmation message will prompt them to verify their decision before proceeding with the deletion.

3. Memo Field 

1. Each Journal Entry will feature a memo field, allowing users to include additional notes or attach relevant documents. Furthermore, this memo will also be synchronized with QuickBooks, ensuring that all information is consistent across platforms.
