Hospitality Sales and Marketing Report (Schedule 7)

Accessing the Report

  1. To access the report, log in to your Docyt account.
  2. From the top navigation menu, select 'Business Reports' from the drop-down menu.
  3. In the subsequent menu, choose 'Departmental Reports'.
  4. On the 'Departmental Reports' page, locate and click the 'Sales and Marketing' option to access the report.
  5. Please customize the report's parameters according to your specific needs and preferences.

  6. Generate the report and review the detailed results to gain valuable insights into revenue performance and financial accuracy.

Report Customization

1. Use the drop-down menu in departmental reports to add new columns based on the selections.

2. Click 'Customize' to add new columns to the report, such as Percentage Column, Last Year, Per Available Room (PAR), Per Occupied Room (POR), and Budgets Comparison. 

3. You can also customize the report columns for multiple months.

4. The table below provides the formula for calculating PAR $ (Per Available Room) and POR $ (Per Occupied Room) for both the Period to Date and Year to Date, respectively. This information can be found in row 3 of the below table.

5. You can also customize the columns in the report at the first level of data drill-down using the drop-down menu. This allows you to personalize the report further and tailor it to your needs.

To export your report to Excel or PDF format

Generate and review the desired report in Docyt.

      1. On the top right corner of the report page, locate the three-dot menu icon (...).
      2. Click on the three dots to open the menu options.
      3. Select 'Export as Excel' or 'Export as PDF' from the menu.
      4. A notification bar, as depicted below, will appear on the screen.

      5. To download the report, navigate to the 'Data Export' section by clicking the 'Data Export' link in the notification. Click the ellipsis menu on the 'Data Export' page and select the 'Download' option.
                                               

Key Components and Sections of the Report

Docyt's Hospitality Departmental Report Schedule 7 - Sales and Marketing provides essential insights for effectively analyzing and optimizing sales and marketing efforts in the hospitality industry. Sales and Marketing expenses are separated into two major categories:

1. Labor Costs and Related Expenses

2. Other Expenses.

Labor Costs and Related Expenses

Labor Costs and Related Expenses include all of the payroll expenses associated with Salaries, Wages, Service Charges, Contracted Labor, Bonuses, and Payroll-Related Expenses for employees and contractors.

Other Expenses

This category includes the significant expenses incurred by the Sales and Marketing department, which are approved as Other Expenses in the Uniform System.

Some line items under the Other Expenses category are:

Agency Fees, Cluster Services, Collateral Material, Complimentary Services and Gifts,  Contract Services, Corporate Office Reimbursable, Decorations, Direct Mail, Dues and Subscriptions, Entertainment—In-House, Equipment Rental, Familiarization Trips, Franchise and Affiliation, Marketing, Franchise and Affiliation Fees—Royalties, In-House Graphics, Loyalty Programs, Media, Miscellaneous, Operating Supplies, Outside Sales Representation, Outside Services Market Research, Outside Signage, Photography, Postage and Overnight Delivery Charges, Promotion, Trade Shows, Training, Travel—Meals and Entertainment, Travel—Other, Uniform Laundry, and Website.

Total Expenses

Total Expenses are calculated by adding Total Labor Costs and Related Expenses to Total Other Expenses.
