Enrollment & Client Activation

  1. Users enrolling in the Docyt Lite Plan are directed to the dashboard.

  2. Accountants can view their QuickBooks clients and activate them using the "Activate" button.

Client Setup Process

  1. Mark all setup steps as done.



  2. AI begins learning from QuickBooks data.

Running an Audit Scan

  1. After AI processing is complete, users can Run an Audit Scan to detect anomalies.


  2. If anomalies exist:

    1. They appear under the Audit Scan tab.

    2. The system provides a detailed review with suggested resolutions for any anomalies detected.

  3. Users can Re-run Audit Scans as needed.

  4. If no anomalies are found, the system notifies users that the books are clean.



Closing the Books

  1. Users can mark books as closed using "Mark Books As Closed."

  2. Notes Logs track closure details, including timestamps and user actions.

  3. Click on View Notes Log to view notes like who closed the books for which business and when.

  4. Users can download the “P&L statement” and “Balance sheet” for the closed months from the Notes.

  5. Users will be notified in the “Issues” section of the dashboard if any of their clients' QuickBooks accounts become disconnected. From this section, they can easily reconnect the accounts. Additionally, any problems related to “Duplicate Vendors” or “COA Sync Issues” will also be displayed, complete with an action button that directs users to business chats where they can seek assistance from @Gary to resolve these issues.

  6. Additionally, users will have access to business chat features for their clients' businesses. This allows for quick and easy communication with the customer support team, ensuring that any assistance needed can be readily obtained.






  7. The user can even “Add Client“ using the button available on the dashboard. And then activate the QuickBooks for them.   

  8. Finally, the user will navigate to the Settings pages, where they can manage their preferences and configurations as an accountant.
  9. If the user wants to “Archive“ any client, they can do so from the “My Clients“ section.

How to Add or Update User Roles in QuickBooks Online (QBO)

  1. Log in to the Quickbooks page through the credentials.
  2. Verify the Primary Admin details under Manage Users.
  3. Review the dialogue box to confirm the role assigned to any existing users.
  4. Select the "Add User" tab to add a new user and create a new user.
  5. The assigned role for the user is added by clicking on the tab
  6. Once the user is added and assigned a role, give permission to the client to access by clicking on the tab Assign Access

  7. Click on Send Invite, and a dialogue box will appear, which will ask for a six-digit code.
